Getting Started
What is Waymark?
Waymark is an iPadOS productivity app designed for seminars, lectures, meetings, and any scenario where you need to capture spoken content. It combines live speech-to-text transcription, real-time translation, rich note-taking with drawing and photo annotation, AI-powered session analysis, and PDF export — all in one app.
What devices does Waymark support?
Waymark is designed exclusively for iPad running iPadOS 17.0 or later. It is optimized for landscape orientation and supports Apple Pencil for drawing and annotation. Waymark is not available on iPhone, Mac, or other platforms.
How do I sign in?
Waymark uses Sign in with Apple as its only authentication method. Tap "Sign in with Apple" on the welcome screen and follow the prompts. You can choose to share or hide your email address — either option works. Your Apple ID credentials are never shared with us.
Do I need an internet connection?
An internet connection is required for:
- Live transcription (audio is processed by a cloud service in real time)
- Translation (text is translated via a cloud service)
- AI analysis (session data is sent to an AI model when you tap "Analyze")
- Purchasing credit packs
You can review existing sessions, edit notes, and browse your session list offline. However, recording, translation, and AI features require an active connection.
What languages does the app interface support?
The Waymark interface is available in English, Korean (한국어), and Chinese (中文). You can switch languages at any time from Settings without restarting the app.
What do I get when I first sign up?
Every new account receives a one-time free allocation of transcription minutes, translation minutes, and AI analysis credits. This allocation expires 30 days after signup and cannot be renewed or re-issued — even if you delete your account and re-register.
Transcription
How does live transcription work?
When you start recording in a session, your iPad's microphone captures audio and streams it to our speech-to-text service in real time. The transcribed text appears on screen as the speaker talks. Audio is processed in real time and is not stored on our servers or the provider's servers after processing.
What languages can be transcribed?
Waymark supports transcription in 15 languages, including English, Korean, Chinese (Mandarin), Japanese, Spanish, French, German, Portuguese, Italian, Dutch, Russian, Hindi, Arabic, Turkish, and Indonesian. Select your transcription language before starting a recording.
How is transcription usage measured?
Transcription is measured in minutes. Each time you start and stop recording counts as one segment. Usage is rounded up to the nearest whole minute per segment — for example, a 30-second recording uses 1 minute of your balance.
What affects transcription accuracy?
For best results:
- Use the app in a quiet environment or close to the speaker
- Speak clearly at a moderate pace
- Ensure a stable internet connection (Wi-Fi recommended)
- Position the iPad's microphone toward the sound source
Background noise, heavy accents, overlapping speakers, and poor connectivity can reduce accuracy. Transcription is provided as-is and should not be treated as a verbatim legal record.
Can I edit the transcript?
Transcripts are displayed as read-only text within the session view. You cannot directly edit transcript lines. However, you can use the notes section to add corrections, annotations, or supplementary information alongside the transcript.
Translation
How does real-time translation work?
When translation is enabled during a recording session, each completed sentence from the transcript is automatically sent to a cloud translation service. The translated text appears below the original transcript line. Translation happens sentence-by-sentence to maintain context and accuracy.
What languages can be translated?
Waymark supports translation into 13 languages, including English, Korean, Chinese (Simplified), Japanese, Spanish, French, German, Portuguese, Italian, Russian, Arabic, Hindi, and Indonesian. The source language is determined by your transcription language setting.
How is translation usage measured?
Translation consumes a small amount of your translation balance each time a text segment is sent for translation. Usage is tracked in minutes and deducted from your translation credit balance.
Can I use translation without transcription?
No. Translation works on transcribed text, so you must have an active recording session with transcription enabled for translation to function. Translation requires both transcription and translation credit balances.
AI Intelligence Analysis
What is the Intelligence Consultant?
The Intelligence Consultant is Waymark's AI-powered analysis feature. After a session, you can tap "Analyze" to send your transcript, notes, and photos to an AI model that generates a comprehensive analysis report. The AI can summarize key points, identify action items, highlight important themes, and provide insights based on your session content.
When is my data sent to the AI?
Your session data is only sent when you explicitly tap the "Analyze" button. It is never sent automatically. You are always in control of when and what is shared with the AI service. The data sent includes your transcript text, notes text, and up to 5 photos from the session.
What are the input limits for AI analysis?
For best results, we recommend:
- Transcript: Up to 40 minutes of speech-to-text content
- Notes: Up to 4,000 words
- Photos: Up to 5 images per analysis
Exceeding these recommendations may result in the AI producing a less detailed analysis. The app will show a guidance message if your content exceeds recommended limits.
Can I choose the language of the AI report?
Yes. Before tapping "Analyze," you can select the report language (English, Korean, or Chinese). The AI will generate its entire response in your chosen language, regardless of the language of the original transcript or notes.
How is AI credit usage counted?
Each analysis consumes 1 AI credit from your balance. The credit is deducted when you tap "Analyze." If the analysis fails due to a service error, the credit is automatically refunded to your account.
Is the AI analysis stored on your servers?
No. The AI-generated report is delivered directly to your iPad and stored locally. We do not store your analysis results, transcript content, notes, or photos on our servers. Once the analysis is complete, the data is not retained by our infrastructure.
Should I rely on AI analysis for critical decisions?
No. AI analysis is provided for informational purposes only and should not be treated as professional, legal, medical, financial, or expert advice. Always verify important information independently. AI models can make mistakes, miss context, or produce inaccurate summaries.
Purchases & Credits
How does Waymark's pricing work?
Waymark uses a pay-as-you-go model with no subscriptions. You receive a one-time free allocation when you sign up. After that, you purchase credit packs as needed — each providing transcription minutes, translation minutes, or AI analysis credits. There are no recurring charges or auto-renewals.
What credit packs are available?
Waymark offers consumable credit packs for:
- Transcription minutes — additional speech-to-text recording time
- Translation minutes — additional real-time translation capacity
- AI analysis credits — additional Intelligence Consultant reports
Prices are displayed in your local currency within the app and are determined by Apple's App Store pricing.
Do purchased credits expire?
Yes. Each credit pack expires 1 month after the date of purchase, regardless of whether the credits have been used. Expired, unused credits are forfeited and cannot be refunded. Plan your purchases based on your anticipated usage.
Can I buy multiple credit packs?
Yes. You can purchase multiple packs of the same or different types at any time. Each purchase creates an independent credit balance with its own 1-month expiry. Credits are consumed on a first-in, first-out (FIFO) basis — the oldest credits are used first.
How do I request a refund?
All purchases are processed by Apple. To request a refund, visit reportaproblem.apple.com or contact Apple Support. We do not process refunds directly, as we do not handle your payment information.
Where can I see my remaining balance?
Your remaining transcription minutes, translation minutes, and AI credits are displayed at the top of the main session screen. For a detailed breakdown including expiry dates, go to Settings → Usage Details.
Where can I see my purchase history?
Your in-app purchase history is available in Settings → Payment History. This shows all credit packs purchased through the app, including dates and product types.
Can I restore previous purchases on a new device?
Waymark's credit packs are consumables — once purchased and consumed, they cannot be restored to a new device. Your credit balance is synced to your account (not your device), so signing in with the same Apple ID on a new iPad will restore your current balance. However, previously consumed credits cannot be recovered.
Sessions & Content
What is a session?
A session is a single recording and note-taking workspace in Waymark. Each session can contain a transcript, translations, handwritten notes, drawings, photos with annotations, and AI analysis reports. Sessions are stored locally on your iPad.
Is there a limit on sessions?
Yes. Each account has a lifetime session cap:
- Free accounts (never purchased): 50 sessions
- Purchased accounts: 350 sessions
This is a lifetime limit — deleting sessions does not restore the count. Once the cap is reached, you will need to reach the purchased tier to create new sessions (if on a free account).
Where is my session data stored?
All session content — transcripts, translations, notes, drawings, photos, and AI reports — is stored exclusively on your iPad using Apple's SwiftData framework. We do not upload, store, or have access to your session content on our servers.
What happens if I delete the app?
Uninstalling Waymark permanently deletes all session data from your iPad, including transcripts, notes, photos, and AI reports. This data cannot be recovered — by you or by us. Your server-side account (credit balances, purchase history) remains intact and will be available when you reinstall and sign in again.
Can I back up my sessions?
Session data is included in your iPad's iCloud backup (if enabled) and in local backups made through Finder or iTunes. You can also export individual sessions as PDF reports to save or share them outside the app.
Can I take photos during a session?
Yes. Waymark includes a built-in camera feature that lets you capture photos during a session. Photos are saved within the session and can be annotated using Apple Pencil. Captured photos are included in PDF exports and can be sent to the AI for analysis.
Export & Sharing
How do I export a session?
Open a session, then tap the export button. You can choose which content sections to include (transcript, translation, notes, photos, AI report) and generate a styled PDF. The PDF can be saved to Files, shared via AirDrop, email, or any other sharing method supported by iPadOS.
Will my PDF have a watermark?
Free accounts (those that have never made a purchase) will see a Waymark watermark on exported PDFs. Once you make any purchase, the watermark is permanently removed from all future exports.
Can I share or redistribute exported content?
Yes. You retain full ownership of all content you create in Waymark. Exported PDFs and any content within them are yours to use, share, and distribute as you see fit.
Privacy & Security
What data does Waymark collect?
We collect only what is necessary to operate the service:
- Account info: Apple user identifier and email (via Sign in with Apple)
- Usage data: Credit balances, session count, purchase records
- Analytics: Lightweight, non-identifying events (e.g., "session started") for product improvement — no content data
- Security data: App Attest keys, DeviceCheck status, rate limit records
We do not collect or store your transcripts, translations, notes, photos, or AI reports. See our Privacy Policy for full details.
Is my audio recorded and stored on your servers?
No. Audio is streamed to our speech-to-text provider in real time during recording and is not stored — not on our servers, and not by the provider after processing. We never have access to your raw audio.
How is my data protected?
- All network communication uses HTTPS (TLS encryption)
- Authentication tokens are stored in the iOS Keychain (hardware-encrypted)
- Server-side data is encrypted at rest with row-level security policies
- All API requests are cryptographically signed using Apple's App Attest
- Per-user rate limiting and automated anomaly detection prevent abuse
- No secret API keys are stored in the app — all third-party keys are server-side only
Does Waymark sell my data?
No. We do not sell, rent, or share your personal information with third parties for advertising or marketing purposes. Your data is used exclusively to operate and improve the Waymark service.
Do I need to get consent before recording others?
Yes, in many jurisdictions. Many regions require the consent of all parties to a conversation before it may be recorded. It is your sole responsibility to comply with all applicable local, state, provincial, national, and international laws regarding recording consent. West Solution Consulting Corp is not liable for any legal consequences arising from your use of Waymark's recording features without proper authorization.
Account Management
How do I delete my account?
Go to Settings → Delete Account within the app. This immediately and permanently deletes all your server-side data, including your authentication record, credit balances, purchase history, usage logs, and security keys. On-device data (sessions, notes, photos) remains on your iPad until you delete individual sessions or uninstall the app.
What happens to my data after account deletion?
All identifiable server-side data is deleted immediately. Two items are retained:
- An opaque, anonymous Apple identifier — solely to prevent free allocation abuse (cannot identify you personally)
- Anonymized analytics events — user identifier is removed; used only for aggregate product improvement
See our Privacy Policy Section 7 for complete details.
Can I use Waymark on multiple iPads?
Yes. Sign in with the same Apple ID on any iPad and your account (credit balances, session count) will sync. However, session content (transcripts, notes, photos) is stored locally and does not sync between devices. Each device will have its own independent session library.
Why can't I create a new account on my device?
Each physical iPad is limited to 3 account registrations (lifetime) to prevent abuse. This limit is enforced via Apple's DeviceCheck API, persists across app reinstalls and factory resets, and cannot be lifted. If you have reached this limit, you can still sign in to an existing account.
How do I enable or disable push notifications?
You can toggle push notifications in Settings → Preferences within the app, or through your iPad's Settings → Notifications → Waymark. We send occasional feature updates and usage reminders — never spam or marketing from third parties.
Technical Issues
Transcription is not working
Try the following:
- Ensure you have an active internet connection (Wi-Fi recommended)
- Check that microphone permission is granted: iPad Settings → Waymark → Microphone
- Verify you have transcription minutes remaining (check the balance display or Settings → Usage Details)
- Close and reopen the session, then start a new recording
- Restart the Waymark app
If the issue persists, contact support@wtheory.com with a description of the problem.
Translation is not appearing
Check the following:
- Translation must be enabled in the session view (toggle it on)
- A recording must be active — translation only works on live transcript output
- Verify you have translation minutes remaining
- Ensure your transcription and translation languages are different — translating from and to the same language is not supported
AI analysis is failing
If the "Analyze" button is not producing results:
- Verify you have at least 1 AI credit remaining
- Check your internet connection
- Ensure your session has some content (transcript, notes, or photos) — empty sessions cannot be analyzed
- If the analysis fails due to a service error, your credit is automatically refunded
- Try again after a few minutes — occasional service interruptions are possible
My purchase is not showing up
Credit balance updates may take a few seconds to reflect after purchase. If your balance hasn't updated:
- Pull down to refresh on the main screen, or navigate away and back
- Go to Settings → check your balance in Usage Details
- Ensure the purchase completed in the App Store (check your Apple purchase history)
- Restart Waymark — the app re-syncs your balance on launch
If the issue persists, contact support@wtheory.com with your approximate purchase date and time, and we will investigate.
The app feels slow or my iPad is getting warm
Waymark is optimized for iPad performance, but long recording sessions or heavy usage may cause warmth. Tips:
- Close other apps running in the background
- Ensure your iPad is running the latest version of iPadOS
- Avoid using the app while charging (charging generates additional heat)
- If the issue persists, try restarting your iPad
